Manage workflows

Review workflows associated with your records or artifacts, and initiate or abort workflows configured for your organization on your records or artifacts.

Review workflows

Review active workflows

Workflows are configured by an administrator in advance. When transitioning a workflow, verify that the workflow steps reflect your organization’s requirements.

To review details for workflows currently active:

  1. In the left sidebar, click Inventory.

  2. Select a record or find your record by applying a filter or searching for it.5

  3. On the landing page of your record, locate the active workflows section.

  4. Click on the name of any active workflow to review that specific workflow’s details.

  5. Click on the tab you would like to review:

    • Details — Name and description (if present) of the workflow, the workflow’s status and progress (if applicable), when it was created, and when it was started.
    • Activity — History of updates to the workflow on that record, including notes submitted during transitions.6
    • Artifacts — Artifacts for that record created within the duration of that workflow’s runtime.
    • Workflow7 — Overview of the entire workflow. The current workflow step is highlighted on this view.

Transition workflows

  1. On the details page of your artifact,8 locate the active workflows section.

  2. Click on the name of any active workflow to review that specific workflow’s details.

  3. Click on the tab you would like to review:

    • Details — Name and description (if present) of the workflow, the workflow’s status and progress (if applicable), when it was created, and when it was started.
    • Activity — History of updates to the workflow on that artifact, including notes submitted during transitions.9
    • Workflow10 — Overview of the entire workflow. The current workflow step is highlighted on this view.

Review workflow histories

Review timelines of workflows running or previously run:

  1. In the left sidebar, click Inventory.

  2. Select a record or find your record by applying a filter or searching for it.11

  3. On the landing page of your record, locate the Workflows section that shows a timeline of workflows associated with that record.

    Use the buttons or keyboard shortcuts12 to control the timeline:

    • — Zoom in
    •  — Zoom out
    • — Move earlier to the left
    • Go to Today — Focus on today
    • — Move later to the right

If workflows are running or have previously run on your record, you can:

  • Click on any listed workflow to review the details of that specific workflow.

  • Filter the view using Filter to display only runs from specific types and statuses of workflows.13

  • Click See All Workflows to see records of all workflows by status:

    • Active — Workflows currently running.
    • Scheduled — Workflows slated to run in the future.
    • Waiting — Workflows in a Wait state.14
    • Finished — Workflows that have reached an End state.15
    • Aborted — Cancelled workflows.16
    • Available — Workflows available to be run manually.17

On the details page of your artifact,18 locate the Workflows section that shows a timeline of workflows associated with that artifact.

Initiate workflows

By default, the Customer Admin role has sufficient permissions to manually start workflows.

To initiate workflows manually:25

  1. In the left sidebar, click Inventory.

  2. Select a record or find your record by applying a filter or searching for it.26

  3. On the landing page of your record, locate the Workflows section.

  4. Click See All Workflows.

  5. Select Run Workflow for the workflow you’d like to initiate, then select your desired workflow start option:

    • Run Now — Workflow starts instantly.
    • Scheduled Run — Set a future date to run the workflow.
  6. Click Run Workflow Now to confirm.

  2. Click See All Workflows.

  3. Select Run Workflow for the workflow you’d like to initiate, then select your desired workflow start option:

    • Run Now — Workflow starts instantly.
    • Scheduled Run — Set a future date to run the workflow.
  4. Click Run Workflow Now to confirm.

Resume workflows

To manually resume a workflow in a Wait state:28

  1. In the left sidebar, click Inventory.

  2. Select a record or find your record by applying a filter or searching for it.29

  3. On the landing page of your record, locate the active workflows section.

  4. For the workflow you’d like to manually advance, click Resume Workflow to open up the workflow’s step overview.

  5. On the Wait step, double-click on to advance the workflow immediately.

Update active workflows

Update workflow versions

Applying the latest version of a workflow will reset the workflow to the beginning.

If you have updated a workflow’s configuration and want to apply the newest version of the workflow to your records or artifacts:31

  1. Abort the existing execution of the workflow.32

  2. Manually initiate the workflow again.33

Edit workflow end dates

To adjust the expected end date for a workflow:

  1. In the left sidebar, click Inventory.

  2. Select a record or find your record by applying a filter or searching for it.34

  3. On the landing page of your record, locate the active workflows section.

  4. Click on the name of the workflow you’d like to edit the end date for to open that specific workflow’s details.

  5. On the workflow’s detail modal, click on the in the top-right hand corner and select Edit Expected End Date.

  6. Enter in the new expected end date for the workflow.

  7. Click Save Expected End Date to apply the new date.

  2. Click on the name of the workflow you’d like to edit the end date for to open that specific workflow’s details.

  3. On the workflow’s detail modal, click on the in the top-right hand corner and select Edit Expected End Date.

  4. Enter in the new expected end date for the workflow.

  5. Click Save Expected End Date to apply the new date.

Abort workflows

By default, the Customer Admin role has sufficient permissions to abort workflows.

To cancel a run of a workflow:

  1. In the left sidebar, click Inventory.

  2. Select a record or find your record by applying a filter or searching for it.36

  3. On the landing page of your record, locate the active workflows section.

  4. Click on the name of the workflow you’d like to abort to open that specific workflow’s details.

  5. On the workflow’s detail modal, click on the in the top-right hand corner and select Abort Workflow.

  6. On the confirmation page, make sure restart workflow after aborting is untoggled, then click Yes, Abort Workflow to abort your workflow.

  2. Click on the name of the workflow you’d like to abort to open that specific workflow’s details.

  3. On the workflow’s detail modal, click on the in the top-right hand corner and select Abort Workflow.

  4. On the confirmation page, make sure restart workflow after aborting is untoggled, then click Yes, Abort Workflow to abort your workflow.
